1. Definitions
In these Terms and Conditions:
• “Event” means a CONEXEN event organised by CONEXEN Ltd, including community events and private events.
• “Participant” means you, the individual registering for and attending the Event.
• “Organiser” means CONEXEN Ltd, the company responsible for organising and managing the Event.
• “Luma” means lu.ma, the third-party platform used to manage event registrations.
2. Registration and Participation
2.1 To attend an Event, Participants must register in advance via our designated registration process. For community events, registration takes place through Luma (lu.ma), accessed via our website at conexen.net. For private events, registration arrangements will be communicated directly.
2.2 During registration, Participants will be asked to provide certain information, including name, email address, job title, company name, LinkedIn profile URL, and dietary requirements. Additional questions may be asked to help us understand our community and curate events appropriately.
2.3 Registrations are subject to approval. We review applicant details to maintain an appropriate balance across participant categories, which is central to making our events valuable for everyone who attends.
2.4 By completing registration, Participants confirm they have read and agree to these Terms and Conditions. Agreement is recorded at the point of registration.
3. Personal Data and Photography
3.1 By registering for an Event, Participants provide certain personal information as described in Section 2.2. This information is used to process registrations, manage attendance, and improve our events.
3.2 During registration, Participants are asked two separate consent questions:
• Whether they agree to their name, company, job title, and LinkedIn profile being shared with other attendees.
• Whether they agree to their name, company, job title, and email address being shared with sponsors and hosts of the Event.
We only share details that Participants have explicitly agreed to share. These choices can be changed at any time by contacting hello@conexen.net.
3.3 Participant data is processed in accordance with our Privacy Policy, available at https://conexen.net/privacy-policy/. Registrations are processed via Luma, whose own privacy policy applies to the handling of data on their platform.
3.4 Photographs and video may be taken at our Events by the CONEXEN team for use in marketing materials, social media, and other communications. Participants are notified of this via a clearly displayed notice at the registration and badge collection point on arrival. Participants who do not wish to be photographed should speak to an organiser on arrival or during the Event, and we will take reasonable steps to accommodate their request. 4. Liability and Indemnification
4.1 Participants attend Events at their own risk.
4.2 CONEXEN Ltd will not be liable for any injury, loss, or damage arising during an Event, except where such loss results from our negligence or intentional misconduct.
4.3 Participants agree to indemnify CONEXEN Ltd against any claims, damages, costs, or expenses arising from their attendance or conduct at an Event.
5. Event Conduct and Safety
5.1 Participants are expected to conduct themselves in a professional and respectful manner throughout the Event and to follow any safety instructions provided by the Organiser or the venue.
5.2 CONEXEN Ltd reserves the right to ask any Participant to leave an Event if their conduct is inappropriate, including but not limited to disorderly behaviour, harassment, or failure to comply with these Terms and Conditions or venue safety requirements. No refund will be issued in such circumstances.
6. Cancellation and Refunds
6.1 If CONEXEN Ltd needs to cancel an Event for any reason, registered Participants will be notified promptly and any registration fees paid will be refunded in full. Any third-party platform fees are subject to the refund policy of the relevant platform.
6.2 If a Participant wishes to cancel their registration, they must notify us in writing at hello@conexen.net. Refunds will be issued only where notification is received at least 7 working days before the Event. Any third-party platform fees are non-refundable.
6.3 Participants may transfer their registration to another eligible individual by contacting hello@conexen.net ahead of the Event. Transfers are subject to approval and the replacement attendee must meet the Event’s participation criteria.
7. Changes to the Event
CONEXEN Ltd reserves the right to make changes to an Event, including adjustments to the schedule, speakers, format, or venue. We will communicate material changes to registered Participants as soon as reasonably practicable. Participants who are unable to attend following a significant change may request a refund by contacting hello@conexen.net.
8. Governing Law
These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising in connection with these Terms and Conditions will be subject to the exclusive jurisdiction of the courts of England and Wales.
9. Entire Agreement
These Terms and Conditions, together with our Privacy Policy, constitute the entire agreement between the Participant and CONEXEN Ltd in relation to Event attendance, and supersede any previous agreements or understandings on the same subject matter.
